- AI Academy by SmarterX: Originally launched in 2020 under the Marketing AI Institute brand, AI Academy is being spun off as a dedicated site and brand. AI Academy is a high-growth business unit designed to prepare individuals and organizations for the future of work by making AI education accessible and personalized.
- The Artificial Intelligence Show: The podcast is SmarterX’s fastest growing media channel with 65,000+ downloads per month. The podcast serves as a promotional tool and lead generator for SmarterX and its business units.
SmarterX also has an internal AI Content Studio that supports audience growth, demand generation, and customer success across all brands / business units. The AI Content Studio produces blog posts, books, blueprints, courses, newsletters, podcasts, presentations, research, videos and webinars.
Role Overview
The Project Manager, AI Content Studio will be responsible for planning, production, workflow optimization, approvals, and cross-functional coordination to ensure that all content initiatives are executed efficiently.
This role requires expertise in Asana for project tracking and workflow management. The ideal candidate is a detail-oriented problem solver with strong organizational and communication skills.
Key Responsibilities
Project Planning & Production Management
- Oversee content production planning to ensure timely execution of deliverables.
- Develop and manage project timelines, ensuring alignment with business objectives.
- Work closely with content creators, editors, and stakeholders to keep projects on track.
Workflow Optimization & Approvals
- Implement efficient workflows to streamline content creation and approvals.
- Coordinate with leadership and stakeholders to ensure smooth approval processes.
- Identify and address workflow bottlenecks to improve efficiency.
Cross-Functional Coordination
- Serve as the primary liaison between content, marketing, sales, and operations teams.
- Ensure alignment of content initiatives with broader business goals.
- Facilitate communication and collaboration across departments.
Asana Project Management & Execution
- Act as the Asana power user, managing content pipelines, task assignments, and deadlines.
- Train and support team members in best practices for Asana project management.
- Continuously refine project tracking methods for efficiency and clarity.
AI Agent Management
- Support AI agent planning, development, management and integration.
- Oversee and optimize the use of AI-powered agents.
- Ensure AI agents are trained to provide accurate real-time insights and reporting.
- Continuously refine AI-driven workflows to enhance efficiency and effectiveness.
Qualifications & Experience
- Proven experience in project management, content production, or workflow optimization.
- Strong proficiency in Asana or similar project management tools.
- Excellent organizational and time management skills, with the ability to handle multiple projects simultaneously.
- Ability to collaborate across teams and maintain strong attention to detail.
- Experience in content, media, or digital marketing industries is a plus.
- HubSpot experience is preferred.
- Advanced prompting abilities with standard LLMs and reasoning models.
- Extensive experience with OpenAI ChatGPT, Anthropic Claude, Google Gemini and / or Microsoft Copilot.
